Save Time. Automate Your Payroll.
It’s that time again. Your employees want to get paid. That means you have to do the payroll. You roll up your sleeves to get started. You download a file with:
🔸Time clock punches in and out.
🔸Cases completed, items sold, or leads closed.
🔸Drivers, routes, times, and distances traveled.
What you don’t have in those files are:
🔻Hourly wages for each employee.
🔻Overtime rules, commission rates, and exceptions to the rules.
🔻Reimbursement rates for your company.
As a result, what you really have is a manual mess that eats up a day or more each payroll period. The solution is easy. Automate this process with Excel.
Here’s how I turned a two-day process into a simple 15-minute task:
Here’s the background: a ride-sharing company receives a weekly file containing a record of all trips, detailing driver, route, and distance. My client needs to:
- Calculate the amount they pay, and the amount they are paid, per trip.
- Tally the total owed to each driver.
- Generate pay stub emails for each driver.
- Easily adjust pay rates in the future.
Step 1: The “Control Panel”
The control panel is a series of tables that allows the user to control how the data is handled, without changing any programming. This control panel features three sections.
Step 2: The Data Import
Trip data is exported to a .csv from an external system. That data is imported, refined, and loaded with a single button click. Instead of taking hours doing this manually, it is now done – literally! – in seconds.
Note that the special override rate established in Section 2 of the control panel is automatically incorporated into the imported data set. No more hunting for those exceptions by hand. They’re simply part of the import ruleset.
Step 3: The Output
Once imported, all results are instantly ready to use. In this workbook, the results can be used in three ways.
The Final Result:
This payroll automation yields four key advantages for the client:
- DATA ACCURACY
- Raw data is directly imported. No manual intervention.
- Rules based. That means vet once, trust always.
- FAST AND EFFICIENT
- Two days of manual labor is now a 15-minute morning task.
- SCALABLE
- One driver. 100 drivers. No difference.
- FLEXIBLE
- User-editable parameters.
- Change the output without changing any coding.
